Shipping Information
The cargo packing deadline is August 31st, 2003. All cargo destined for Halley must therefore be received at BAS in Cambridge by the last week of August. Hazardous cargo (chemicals)
and compressed gases should be ordered from the supplier in June/July in order to allow for the extra time required for packaging and administrative processing. Both BAS and the packing company,
Walkerpack, are already accepting cargo destined for Halley November, 2003.
There are different shipping requirements for different articles.
1. General Cargo
- While packing your boxes, please remember that a lot of manual labour will be required to offload cargo from the ship and deliver it to the CASLab.
- Everything must be delivered as 'break-bulk', i.e. able to be handled in separate units.
- The maximum weight limit on each unit is 100kg. Where possible, please pack boxes into 30-50kg units so they can be handled by two people.
- Zarges boxes are by far the preferred box-type although 'Nefab' boxes and packing crates are also acceptable.
- Remember that your cargo is likely to be left at ambient (freezing) temperatures for a few days at least. If you have any parts that are particularly sensitive to temperature, pack them
separately and label accordingly. Mark on both the box itself and the accompanying packing note that these items must be brought inside immediately.
- Please mark (on both the box and packing form) any items that are FRAGILE or VERY HEAVY.
- There is space inside a container for transporting more fragile items . Please note under 'Special Instructions' any pieces that you would like shipped in this way.
- It is important that there is a detailed and comprehensive list of contents inside each box for customs as well as for ease of finding parts once at Halley.
- Every item that is shipped must have an accompanying cargo packing note for which these are the instructions .
- Once completed, paste one cargo packing note to the outside of the box, include one on the inside and send and electronic copy to Rhian.
- Please note that any numbers or addresses on the outside of your box that are not relevant to CHABLIS will be concealed (probably with paint) before shipping.
- Once at BAS, your box will be given a BOL (Bill of Lading) number which we will use to follow its progress, identify it at Halley and ensure it is delivered to the CASLab.
- If you are sending a large number of boxes, please arrange a time (via Rhian) to send them beforehand so that the stores manager will be expecting them.

2. Hazardous Cargo
- No hazardous cargo can be handled at BAS, Cambridge.
- All chemicals must be sent, directly from the supplier in UN packaging, with relevant safety data sheets, to the designated packers who will then arrange delivery to the ship.
- Each box may only contain one hazard type.
- If you are sending any chemicals to Halley, be sure to notify Rhian of the PO number and dispatch date from the supplier to the packing company.
- Even though you are not sending the item to BAS, there must still be an accompanying cargo packing note. Under 'Special Instructions' please write the PO number, supplier and dispatch date to
Walkerpack. If at all possible, include your section reference on the purchase order or in the PO number.
- Hazardous cargo should be sent to:

3. Compressed Gases
- Compressed gases must be sent directly from the supplier to the dock where they will be put in specific CASLab stillages.
- Please ensure that the supplier can deliver the gases to Grimsby dock within a window of 4-5 days in early October. BAS usually uses Air Products for supply of compressed gases since they have a
local agent in Grimbsby who is familiar with the protocol.
- If you are sending compressed gases to Halley, please raise a purchase order at your institution but don't place it with the company. Fax/email the purchase order to BAS (Rhian Salmon and Kath
Nicholson) who will arrange delivery directly with the supplier. If this isn't possible, please get in touch with Rhian ASAP in order to organise a different procedure.
