Instructions for Authors

General

Selected papers presented at any session at the symposium will be published by the Society in the Annals of Glaciology. All papers (including those based on posters) will be refereed and edited according to the Society's regular standards before being accepted for publication.

Process

  • The abstract deadline is the 28th of February, 2006.
  • First or corresponding authors will receive a letter of acceptance from the IGS office sometime after the abstract deadline. The list of accepted abstracts can be found on http://www.igsoc.org/annals/46/. First or corresponding authors who do not receive notification should contact the IGS office in Cambridge in case their abstract was not received. Acceptance of an abstract means that the paper based on it should be submitted to the Annals of Glaciology and not to another publication. Note: abstracts alone will not be published in the Annals of Glaciology.
  • A set of the accepted abstracts will be provided to participants upon registration on 20 August 2006.
  • Manuscripts should be submitted electronically to the IGS office by e-mail (see below). Authors who are unable to submit their paper electronically can submit a copy of their manuscripts, doubled-spaced with wide margins, on a CD, to the Secretary General, International Glaciological Society, Scott Polar Research Institute, Lensfield Road, Cambridge CB2 1ER, U.K. All manuscripts should arrive at the IGS office in Cambridge no later than 19th June 2006. All authors are expected to adhere to this deadline.
  • Papers will be refereed according to the usual standards of the Society before being accepted for publication. The scientific editors will probably reject the following types of paper: field or data reports; descriptions of work in progress without preliminary results and conclusions; descriptions of models or theory without any results; descriptions of future research or future projects; preliminary results without any interpretation. Abstracts alone will not be published.
  • Papers should be prepared in accordance with the instructions sent to authors with the abstract acceptance notification (see below). Final papers, based on presentations at the Symposium, which have been submitted and accepted by the Editorial Board following review, will be published in the Annals of Glaciology (Vol. 46).
  • Final, revised versions of papers, CDs and original art work must be submitted by 2 October 2006. Timely publication of the Annals of Glaciology will depend upon strict adherence to deadlines.

Instructions to authors for Annals of Glaciology

Please submit your paper for review as a pdf file to annals@igsoc.org by 19th June 2006. See www.igsoc.org/journal/pdf.html for instructions on the preparation of pdf files. Note that since the Annals style is Optima all figure labels should be in Optima or a similar "sans serif" Arial font. See the points below for further instructions, and refer to www.igsoc.org/journal/instructions.html for more details.

Papers submitted should be:

  • Of high scientific quality
  • Complete and clear
  • Relevant to topic of symposium
  • Substantially different from previously published work
  • 5000-5500 words long (papers exceeding this limit will be subject to mandatory page charges)
  • Written in English

Original submission

Send a pdf file containing the text and all figures and tables to annals@igsoc.org. Remember we only need low-resolution figures at this stage.

Review process

Papers will be assessed by a Scientific Editor and two referees who will recommend one of the following:
  • Acceptance
  • Acceptance after minor revision by author
  • Acceptance only after major revision and re-review
  • Rejection
The Scientific Editor will discuss any modifications to the text, figures and references required with the attending author during the symposium. The Scientific Editor will inform authors when a manuscript is accepted for publication.

You will then provide the IGS with electronic versions of the final text and figures.

You will be sent a proof of the final version of your text and illustrations to check and correct (you will have to pay for any substantial alterations made at this stage).

Final submission

The final accepted version of the paper should be in electronic format.
  • Acceptable formats are
    • Text (including tables and figure captions) - Word, TeX or LaTeX
    • Figures - eps, pdf, ai (illustrator), ps, tiff, psd; named, for example, 44A214Fig01.eps
  • File names should reflect the number of the paper, e.g. 44A214.doc
  • Send
    • via email to annals@igsoc.org, or
    • on CD via mail to the IGS (see address above), or
    • via the IGS ftp site (please contact igsoc@igsoc.org for details)
  • Indicate contact details of corresponding author
  • Responsibility for the accuracy of all data rests with the authors

General points

  • Title should be concise
  • Please do not use Hypertext
  • Abstract should be less than 200 words
  • Papers should be divided into unnumbered sections with short section headings
  • Use SI units
  • Use internationally recognized systems of abbreviation
  • Illustrations should
    • be 1 or 2 column widths: up to 85 mm or up to 178 mm
    • not be in boxes
    • use strong black lines (avoid tinting if possible)
    • use SI units in labels
    • use Optima, Arial or a similar sans serif font in labels
  • Equations should
    • be set in MathType or advanced equation editor if using Word
    • NOT be embedded in the text
    • NOT be submitted as illustrations
  • Tables should be
    • Numbered in Arabic
    • Referred to in text (as ‘Table 1’ etc)
  • All citations in text should include the author name(s) and the year of publication (e.g. ‘Smith, 1999’; ‘Smith and Jones, 2000’; ‘Smith and others, 2003’) and must have an entry in the reference list
  • References list should
    • Be short
    • Be complete and accurate
    • Be arranged in alphabetical order by first author’s surname
    • Include too much rather than too little information
    • Include works accepted but not published as ‘in press’
    • Not include personal communications, unpublished data or manuscript in preparation or submitted for publication, data published on the web (these should be included in the text)

Page charges

These must be paid if:
  • your paper is more than 5 printed pages (5000-5500 words) long
  • your paper has colour figures (even if just one figure is colour, charges must be paid for all printed pages).
